Your book fills up while you work.
iPrenota is the appointment book I wrote for businesses that work by appointment. Your client picks a service, a staff member and a slot that is genuinely free; you find it all in one back office, with reminders that go out by themselves. On your own domain, with no commissions.
Every appointment taken by phone is time taken from the work.
People who work by appointment spend hours juggling slots, calling back and reminding. It is work that never shows up in the till, and a booking page does it for you, better and at any hour.
The phone that never stops
It rings while your hands are in someone's hair. You answer, apologise to the client in the chair, hunt for a gap in the book, and meanwhile a message lands on another channel.
Bookings come in on their own, even at nightGaps in the book and no-shows
Someone who booked three weeks ago simply forgets. You discover the gap when the slot has already gone by, and that half hour is never coming back.
An automatic reminder before every appointmentA book only its author can read
Names, times and second thoughts scattered across a notepad or three different chats. When you need to know what a client is worth or which service really sells, there is no answer.
History, value and preferences for every clientTwo sides: your client and you
At the front, a booking page anyone can use. Behind it, the back office that holds agenda, clients, takings and reminders together.
Four steps, and the appointment is booked
Service, staff member, date and time, details. Your client sees duration and price before choosing, and can ask for the first available staff member: the system assigns whoever has the lightest load at that moment.
- Booked slots stay visible but struck through: people see how full you are, without ever revealing who booked.
- Two people on the same slot cannot overlap: confirmation re-checks everything with the day locked.
- Minimum notice and the maximum booking window are yours to set, service by service.
One agenda, for every channel
Daily per staff member or weekly, with out-of-hours bands dashed and a quick card for every appointment. Phone bookings and walk-ins take seconds to add: they land in the same place as the online ones.
- Move an appointment and the reminder restarts on the new time.
- A filterable list, status changes and CSV export of whatever you are looking at.
- A dashboard with today's appointments, requests to confirm and the value of the book.
The reminder you never forget to send
Every booking triggers a summary email with the code, time, staff member, location and a calendar file for the client. Then, with the lead time you choose, the reminder goes out: from there your client can move or cancel on their own, without calling you.
- SMTP configured from the back office, with a test send that tells you at once what is wrong.
- Reminder lead time from 1 hour to 3 days, one per appointment.
- A "Your appointment" area: the client checks, moves and cancels on their own.
The numbers your agenda produces by itself
Takings, booking volume, average ticket and real hourly occupancy, that is how many of the hours you stay open are actually booked. Plus appointment outcomes, the most requested days and time slots, a ranking of services and each staff member's performance.
- A comparison between bookings taken online and taken in the back office.
- Clients with generated value, favourite services and return frequency.
- Charts drawn by the server: no external library, no data leaving the building.
And everything around it
The things a ten-minute demo never shows, but which decide whether the book is still tidy six months later.
Services and categories
Duration, turnaround time, price, colour in the agenda and visibility on the site, service by service.
Staff
Photo resized automatically, enabled services, personal hours or hours inherited from the business.
Clients
History, generated value, favourite services, internal notes, consents and CSV export of just your selection.
Closures and absences
Holidays, bank holidays and half days, for the whole business or for a single staff member.
Online payments
Optional and per service: full amount or a percentage deposit, with a master switch in the settings.
Users and activity log
Separate administrator and staff accounts, with a trail of who did what and when.
From the order to the first booking
No migration and no external service to subscribe to: iPrenota installs on your hosting and is configured around your business.
I install it on your hosting
iPrenota runs on ordinary shared hosting with PHP and MySQL. No dedicated server, no external service to subscribe to.
We set up your price list
Services with duration, turnaround and price, staff with their own hours, closures and notice rules: the agenda starts to look like yours.
I connect emails and reminders
SMTP verified with a test send, email copy in your own words and an automatic reminder with the lead time you prefer.
You go live and I walk you through it
The booking module goes into your website and the back office is handed over to you, with a training session for you and your staff.
If you work by appointment, it is for you
The service names and durations change, the problem does not: someone has to answer the phone and remember to remind.
Beauty clinics
Treatments of different lengths, rooms and turnaround time between one client and the next.
Hair and barber shops
Several chairs in parallel, long services like colouring and clients loyal to their own stylist.
Medical practices and clinics
Several specialists, first visits and follow-ups with their own durations, and no patient data exposed.
Physiotherapy and massage
Courses of sessions, the therapist's own hours and a deposit on the longer treatments.
Personal trainers and fitness studios
One-to-one sessions, availability that shifts every week and cancellations handled by the client.
Professional practices
Consultations by appointment, an agenda shared between several people and written confirmation of every meeting.

No. iPrenota can live on a subdomain of your current website (booking.yourdomain.com) and be reached with a button. If we rebuild the site together, the booking module goes straight into the pages.
